"Primary" Owners Vs. "Additional Owners"

This article explains the difference between Primary & Additional owners, and "Registered" vs. "Un-Registered" Resident Profiles

Primary Owner Management

Q: How do I swap the Primary Owner with an Additional Owner? A:

  1. Click "Edit" next to the Primary Owner's name

  2. Select the new Primary Owner from the dropdown (only Additional Owners appear here)

  3. Click "Confirm"

  4. The roles automatically swap - the previous Primary Owner becomes an Additional Owner

Q: Why is the "Select New Primary Owner" dropdown empty? A: The dropdown only shows current Additional Owners. If it's empty, you need to first add Additional Owners to the property before you can change the Primary Owner.

Q: Can I make someone who's not currently associated with a specific property the Primary Owner? A: Yes, but you must first add them as an Additional Owner, then use the Edit function to promote them to Primary Owner. This is a two-step process to ensure data integrity.

Q: What happens to the previous Primary Owner when I select a new one? A: They automatically become an Additional Owner. For example, if John Smith is Primary and you select Sandra Smith, John automatically moves to the Additional Owners list.

Additional Owner Management

Q: How many Additional Owners can I add to a property? A: There's no stated limit. You can add multiple Additional Owners as needed for co-owners, family members, or trustees.

Q: How do I add an Additional Owner? A:

  1. Click "+ Assign additional owner" in the Property Details

  2. Choose from Registered Residents or click "+ Add a new Resident" if they're not in the system

  3. Select the person and they'll be added to the property

Q: Can I add someone as an Additional Owner if they're already a Primary Owner of this property? A: No, each person can only have one role per property. The Primary Owner cannot also be listed as an Additional Owner on the same property.

Q: How do I remove an Additional Owner? A: Click the "Remove" link next to their name. This immediately removes them from the property (no confirmation dialog shown in the interface).

Other Scenarios

Q: What if I accidentally remove the wrong Additional Owner? A: You'll need to add them back using the "+ Assign additional owner" function. There's no undo feature, so be careful when removing owners.

Q: Can the same person be an owner on multiple properties? A: Yes, individuals can be Primary or Additional Owners on multiple properties within your HOA.

Registered vs Non-Registered Residents

Q: What's the difference when adding Registered vs Non-Registered residents? A:

  • Registered Residents: Have signed up or "Registered" their profile on either the mobile app or the resident web portal.

  • Non-Registered Residents: Resident information that has been added manually by a manager, but that resident hasn't actually signed up for or registered on their resident profile on the mobile app or the resident web portal.

Q: As a Manager, can I convert a Non-Registered resident to a Registered one? A: No, the only way for a profile to become a "Registered" one, is if the resident signed-up or "Registered" their Resident profile on either the mobile app or the resident web portal.

Q: What if both spouses are equal owners? A: One must be designated as Primary Owner (for system communication and billing purposes) and the other as Additional Owner. Both have ownership records, but only the Primary Owner is the main contact. Note that spouses can also utilize the same login for a single profile as well.

Q: How do I handle properties owned by LLCs or trusts? A: Create a resident profile for the LLC or trust as the Primary Owner. You can then add individual trustees or members as Additional Owners if needed.

Q: Can I add a property manager who isn't an owner? A: The Additional Owners feature is specifically for individuals with ownership interest or oversight, so yes.

Troubleshooting

Q: Why can't I see certain residents in the assignment dialog? A: Use the search function to find specific residents. If they don't appear, they may need to be added to the system first using "+ Add a new Resident".
