HOA Accounting Software - Coding a Single Resident Deposit for a Single Charge

There are two (2) types of deposits to be aware of in the transaction section: Resident Deposits, and any other type of deposit.

Coding a single HOA Resident Deposit for a Single charge would be appropriate in a situation where you need to match a payment recorded in HOA Messenger's Accounting Software with a single charge such as a monthly HOA fee with a transaction that has cleared the bank.

Clarifying "Single Charge": A single charge is a charge such as a regular assessment charge, a pool key charge, a violation fine, or a late fee etc. Sometimes residents may pay for multiple charges with a single payment, and there is a different process for that. Below are instructions on how to Code a Single Resident Deposit for a Single Charge

  1. Navigate to the Transaction Section: In the HOA Accounting Software, navigate to the Transaction Section. Note that coded transactions are marked with a green "Coded" label, and transactions yet to be coded are marked with a red "Not Coded" label.

  2. Select the Transaction: Choose the transaction you want to code by clicking on the blue "Edit" button.

  3. Confirm the Transaction Type: A pop-up will appear asking if the payment you're coding was made by a resident. Since we're coding a resident payment, click "Yes".

  4. Select the Resident: At this stage, you need to select the specific resident who made the payment. You can search for the resident using the search box, select their name from the dropdown, or click on "Review list of all recorded transactions". For this tutorial, we'll use the search box to find the resident, then click on their name.

  5. Choose the Payment: You'll see a list of payments that have been previously recorded for this specific resident. If you do not see a recorded payment and you're sure the selected transaction was made by them, then click on "Record a new payment for this owner". For this example, the payment has already been recorded, so we'll click on the appropriate payment this transaction needs to be coded to.

  6. Confirm the Transaction: After you click on the payment, you'll have the option to change the transaction description. If you're satisfied with the description, click "Confirm".

  7. Finalize the Process: At this point, you're done. Back on the main transaction screen, you'll notice that the transaction has been coded and is ready to be reconciled.
